How invite links bring people in, why an invite alone grants nothing, and how access is taken away
People join an organization through an invite link and leave it when their access is removed. Owners and admins do both from Members (in the sidebar on a Mac or iPad, and in Settings → General → Organization on an iPhone). See Members (AD-6).
Invites
An invite is a link your organization sends by email or text. Opening it on a phone, iPad or Mac opens Streamliner on your organization's page, with its name, its logo and the right sign-in. The person signs in, and only then do they belong to the organization.
- An invite does not let anyone in by itself. Links get forwarded; an invite names the organization, expires, and can be tied to one email address that the sign-in must match.
- It carries an access level, such as You've been invited as an admin, and the person's roles.
- If someone sees This invite can't be used, it has expired, been used, been withdrawn or been replaced by a new link. Send a new one.
To invite someone: Members → Invite…. Enter their email (or, on an organization that signs in with its own system, their username), their name, the access level and their roles, then Invite. You get the link once: Copy Link or Share… it. Only owners can invite an owner.
Pending Invites, at the bottom of Members, lists the links nobody has used yet. Resend makes a new link for the same person (the old one stops working; a lost link can't be shown again). Withdraw stops the link working at once.
Removing someone
Access ends in layers, so it ends fast:
- In your own systems. Disable the person in your organization's directory or systems and the assistant can no longer do anything for them there, from any device.
- In Streamliner. From the person's row in Members:
- Sign Out Everywhere: they stay a member and can sign in again (a lost phone).
- Suspend…: blocked at once, membership and record kept; Lift Suspension restores them without a new invite (leave, an investigation).
- Remove from Organization…: the membership is gone; coming back needs a new invite.
- On their device. The next time the app hears that their access has ended, it shows Your access to your organization has ended and removes your organization's chats, sign-ins and setup from that device.
Your organization's record of their chats stays with your organization. See Where your chats are kept (PR-3). Every one of these actions is listed in Activity (AD-8).
Every organization keeps at least one owner: the last owner can't be removed, lowered or suspended. Make someone else an owner first.
Leaving yourself
Sign Out of This Organization, in Settings → Accounts, removes the organization's chats and setup from your device. Your other accounts stay; the next one opens.
The same manual ships inside the app. This section as Markdown
